TOOKLI

Automate the work, not just the buzzword

Most processes do not need AI. They need a reliable workflow — and AI in the two steps that genuinely require judgement.

The problem

AI is being sold as the answer to problems that are not AI problems

A form that emails a spreadsheet does not need a language model. It needs validation, a database and a notification. Putting AI in front of a broken process automates the mess and makes it harder to debug.

Our approach

Deterministic by default, AI where judgement is required

We map the process first and mark each step: rule-based, or genuinely requiring judgement. Rules become ordinary code — testable, cheap, predictable. Only the judgement steps get a model, and those get evaluation and a human check.

What we build

Capabilities

  • Business Process Automation

End-to-end processes that currently live across email, spreadsheets and someone's memory.

  • AI-powered Automation

Classification, extraction and summarisation dropped into a workflow that is otherwise deterministic.

  • Workflow Automation

Approvals, handoffs and escalations with a defined path for every exception.

  • Document Automation

Intake, OCR, extraction, validation and filing — with a confidence threshold that routes to a human.

  • Data Automation

Scheduled movement, transformation and quality checks between systems that do not talk.

  • API Integration

Typed, retried, idempotent integrations. The unglamorous work that decides whether the rest holds.

  • System Integration

Connecting CRM, ERP, finance and operational systems without a nightly CSV.

  • Notification Automation

The right person told at the right moment, with enough context to act.

  • Reporting Automation

Recurring reports assembled from source systems instead of rebuilt by hand each month.

Architecture

How it fits together

Form intake with an AI step

Six of the seven steps are ordinary software. AI does one job — reading unstructured input — and its output is validated before anything downstream trusts it.

  1. 01Form submission
  2. 02ValidationSchema rules, deterministic
  3. 03DatabaseSource of truth
  4. 04AI processingClassification and extraction only
  5. 05ApprovalHuman, where the stakes justify it
  6. 06Notification
  7. 07Report

Inbound email to CRM

Classification is the judgement step. Everything after it is a rule.

  1. 01Email
  2. 02AI classificationIntent and priority
  3. 03Extract informationValidated against a schema
  4. 04CRM
  5. 05Assign employeeRouting rules, not a model
  6. 06Notification
  7. 07Follow-up

Document to dashboard

Below a confidence threshold, extraction routes to a person instead of writing a wrong number into a report someone will act on.

  1. 01Document
  2. 02OCR
  3. 03AI extraction
  4. 04ValidationRules plus a confidence threshold
  5. 05Database

Use cases

What this looks like in practice

Examples of what we can build for each sector. Work we have actually delivered appears in our case studies, with named outcomes.

  • Operations

    Recurring report assembly

The monthly pack that occupies a capable person for two days, rebuilt as a pipeline.

  • Finance

    Invoice and document intake

Extraction with validation and an exception queue, rather than silent write-through.

  • Sales

    Lead routing and CRM hygiene

Enrichment, deduplication and assignment, so the pipeline reflects reality.

  • HR

    Onboarding coordination

Accounts, equipment and paperwork sequenced across systems that do not share a calendar.

How we work

Delivery process

  1. 01

    Map the current process

Every step, owner and exception, written down. Usually the most valuable deliverable.

  2. 02

    Mark the judgement steps

Rule or judgement, per step. Most steps are rules, and rules are cheaper.

  3. 03

Design the happy path and the failures

Retry, queue, degrade or escalate. Automation is judged on its failure behaviour.

  4. 04

    Build

Deterministic code, typed integrations, idempotent operations.

  5. 05

    Run in parallel

Old and new side by side for a cycle or two. It is how you find the errors already there.

  6. 06

    Hand over

Runbooks, alerting and an owner. An automation nobody owns becomes an outage.

Security and reliability

How we keep it safe and accountable

Engineering practices, not certifications. TOOKLI holds no security certifications and does not claim any.

  • Idempotency

Every operation can run twice without doing damage. Retries are inevitable; duplicated invoices should not be.

  • Exception queues, not silent failures

Anything the system cannot handle confidently goes to a named person with context — never absorbed into a rounding difference.

  • Least privilege

Each integration gets its own credential scoped to exactly what it needs, so revoking one does not require rotating everything.

  • Observability

Volume, failure rate and latency per step, with alerts on the steps that matter. A silent automation is an unmonitored one.
